What belongs on an employee ID card

A workplace card has one job: identify the holder at a glance and let a reader or a reception desk trust it. That needs a clear photo, the person's full name, their role or designation, and the organisation's name and logo. An employee number ties the card to a record for access control and attendance. A department line and a validity date are useful when a building has zones or when contracts turn over.

Resist the urge to crowd it. The strongest cards carry only the fields that earn their place, and the optional toggles here stay hidden until you switch them on, so a blank field never leaves a stray label. If you need a contact line for a field engineer or a blood group for a site card, turn just those on and leave the rest off.

Print it on a standard badge

Office badges are almost always the credit-card size, CR80 at 85.6 by 54 mm, because it fits every common lanyard holder and PVC card printer. This tool renders at that exact size at 300 DPI, so the download is genuinely print-ready rather than a screenshot. Send the PDF to a card bureau, or print a PNG at home and slip it into a rigid holder.

For a plastic card, hand a high-resolution PNG or the PDF to a PVC printing shop. For a quick paper badge, print and laminate. Keep the logo simple: at card scale a bold mark reads far better than a full lock-up with a tagline, and a transparent PNG logo lets the header colour show through instead of sitting in a white box.

Issue cards for a whole team

Because the card is built in the browser, you can make one person after another without anything from the last card lingering on a server, which matters for staff data. Set the design and brand colour once, then change only the name, photo and number for each person.

When an HR system or a portal caps the upload size of the badge image, the rest of the ImgKilo tools pick up from here. Resize the export to a system's exact pixels, or compress it to a KB limit. For a tidy head-and-shoulders photo on a plain background, run it through the passport photo maker first.
